Vehicle Documents

How to upload, view, and manage documents attached to individual vehicles.

Drafft lets you store vehicle documents — registration, insurance cards, inspection reports, maintenance invoices — directly on each vehicle's profile. Documents are accessible to anyone on your team with dispatcher or admin access.

Supported file types and limits

  • Formats: PDF, JPEG, PNG, HEIC, WEBP
  • Size limit: 10 MB per file

Uploading a document

  1. Go to Fleet → Assets and click the vehicle.
  2. Open the Documents tab.
  3. Click Upload Document.
  4. Select the file and choose a document type (Registration, Insurance, Inspection, Maintenance, Other).
  5. Optionally add an expiry date.
  6. Click Upload.

The document appears in the vehicle's document list immediately.

Viewing a document

Click any document in the list to open a secure preview. Documents are stored privately — no public URLs are generated. The preview link expires after 5 minutes for security.

Maintenance invoices

Invoices uploaded to the maintenance log also appear in the documents list, tagged as Maintenance. You can upload invoices directly from Maintenance → History → Add Entry and Drafft will extract the date, shop, and cost using OCR.

Deleting a document

Click the trash icon next to any document and confirm. Deletion is permanent.
