Logging Maintenance History
How to add maintenance log entries manually or by uploading an invoice.
Every service performed on a vehicle should be logged in Drafft to build a complete maintenance history. You can add entries manually or let Drafft extract the details from an invoice using OCR.
Adding an entry manually
- Go to Maintenance → History.
- Click Add Entry.
- Select the vehicle.
- Fill in: service type, shop name, date, odometer reading, cost, and any notes.
- Click Save.
The entry appears in the vehicle's maintenance history immediately.
Uploading an invoice (AI extraction)
Drafft can read a maintenance invoice (PDF or image) and pre-fill the log entry for you:
- Click Add Entry → Upload Invoice.
- Drag and drop or select your invoice file (PDF, JPEG, PNG — max 10 MB).
- Drafft's OCR reads the document and extracts: shop name, service date, line items, and total cost.
- Review the extracted fields. Edit any that are incorrect.
- Click Save.
This is the fastest way to log multiple invoices at once after a shop visit.
Viewing a vehicle's history
Open any vehicle in Fleet → Assets and go to the History tab to see every logged maintenance entry in chronological order. Each entry shows service type, shop, date, mileage, and cost.
Exporting history
From Maintenance → History, filter by vehicle and date range and click Export to download a CSV of the maintenance log.
