Maintenance Schedules

How to set up preventive maintenance schedules and get alerted before service is due.

Preventive maintenance schedules in Drafft track when each vehicle is due for service — oil changes, tire rotations, DOT inspections, and any custom service type — and alert your team before they come due.

Creating a schedule

  1. Go to Maintenance → Schedules.
  2. Click Add Schedule.
  3. Select the vehicle.
  4. Choose a service type (Oil Change, Tire Rotation, DOT Inspection, or enter a custom name).
  5. Set the trigger: By mileage (e.g., every 15,000 miles), By engine hours, or By date (e.g., every 90 days).
  6. Enter the current mileage or hours as the starting point.
  7. Set an alert threshold (e.g., alert when 1,000 miles remain before due).
  8. Click Save.

Drafft calculates the next due date/mileage based on the starting point and interval and begins counting down.

Viewing upcoming service

Maintenance → Schedules shows all schedules sorted by urgency. Overdue schedules appear at the top in red. Near-due schedules appear in amber.

Recurring vs. one-time

All schedules are recurring by default — when you mark a service complete, the next interval starts automatically. If you need a one-time schedule (e.g., a specific repair), check One-time when creating it.

Marking service complete

When service is performed, open the schedule and click Mark Complete. You'll be prompted to enter the completion mileage and date. Drafft records this in the maintenance history and resets the schedule interval.
