Reconciling Toll Transactions

How to match toll invoices to transactions in Drafft and identify discrepancies.

Reconciling toll transactions ensures your toll statements match the transactions recorded in Drafft. Discrepancies can arise from timing mismatches, failed payments, or data sync delays.

Start a reconciliation

  1. Go to Toll → Statements.
  2. Click on a statement to view its transactions.
  3. Click Reconcile in the top right.
  4. Select the date range that matches your toll invoice.

Match transactions to invoice line items

Drafft displays unmatched transactions from your statement. For each transaction:

  1. Verify the amount, date, and vehicle match your invoice.
  2. Click the transaction to expand details (toll plaza, direction, transponder).
  3. If it matches an invoice line, click Match and select the corresponding line.
  4. If there's no match, mark it as Unmatched and investigate.

Investigate discrepancies

Missing from invoice: The transaction was recorded in Drafft but not on your toll bill.

  • Check transponder status: is it active and properly linked?
  • Verify the transaction date is within the invoice period.
  • Contact your toll operator if the charge should have appeared.

On invoice but not in Drafft: A charge appears on your bill but Drafft has no record.

  • The transaction may be pending (check Pending filter).
  • Your transponder may have a data sync delay; refresh and try again.
  • Contact tolling support if the charge is from a different transponder.

Amount mismatch: The charge amount differs from your recorded transaction.

  • Some toll operators adjust charges after initial posting (e.g., discounts, late fees).
  • Click the transaction to see notes or comments from your toll operator.
  • Update the amount in Drafft if you've confirmed the adjustment.

Mark as reconciled

Once all transactions match invoice line items (or are marked as investigated):

  1. Click Complete Reconciliation.
  2. Add a note summarizing any findings (optional).
  3. Click Confirm.

The statement is now marked as reconciled and locked from further edits.
